App Customization Specialist Superbadge - 4

Apparently the coffee was not strong enough this morning... error messages galore! (And I made a mess with breakfast!)  The part that makes me feel silly?  All of the superbadge error messages can be avoided by a careful reading of the instructions.  I hope you find my errors helpful!  Do you have an error that isn't listed?  Leave a comment, and I'll take a look!

Creating custom report types- remember to deploy!
If you do not deploy, you can see the report as an admin...but nobody else can!

This is a helpful error message if you are having trouble showing records only applicable to a particular volunteer.

This error message is incredibly frustrating! I played with the report for a few hours before finally having a "eureka!" moment!  The secret is in the instructions:
"...create a Summary report grouped by Volunteer Organization showing each organization's cumulative hours and no other columns."
"No other columns" includes the "# of shift hours" field.  You can sort a field by a value that is not included within the report.  Try double clicking on the hours field on the far left within the fields menu... got it?  Then summarize the Volunteer Organization group by that field.

Not suprisingly, this error message is essentially the same issue at the "My Top Volunteer" organizations problem.  Remember to refresh your dashboard before checking the challenge!

Now I'm just getting sloppy.... I think it's time for a nap.

Final tips for this step:
  • Watch those dashboard names! They do not all match the report names.
  • Keep an eye on the sort column for each dashboard component.

  1. Hi,

I am stuck at the Challenge 4 ,
I am receiving the same error that you have mentioned "The 'My Top Volunteer Organizations' report is not sorting by the correct field." and tried to configure the reports in the same fashion as suggested but no luck ...!!!

Can you help in getting thru this challenge.

    Thanks in advance.

    1. A few things to check:
      1) Are you using the custom report type?
      2) There should only be 1 column on this summary report.
      3) A filter should be used to ensure that only volunteer organization accounts are included.

    2. Hello,
I have been strugling with the error 'The 'My Top Volunteer Organizations' report is not sorting by the correct field' for the last 2 days and I am a bit confused. the instructions say to "create a Summary report grouped by Volunteer Organization showing each organization’s cumulative hours ". Should i understand that the report should display only the organization name , sorted by attributed hours but not showing attributed hours ?

      Delete
    3. You will want the shift hours on the report, but not sort by that column. A little hint - Once you create the "Sum of Shift Hours" field, you should have a little upside down triangle on the volunteer organization field. Click on it and look for a way to sort that field.

    4. Hello, Thank you. I finally managed to make it run and the rest was a piece of cake. I got the badge. Keep up the good work with your blog.

  2. Hi, My error says "Challenge Not yet complete... here's what's wrong:
Couldn’t find the report 'My Top Volunteer Organizations'."
I have done the report with that name more than 5 times.

    Replies
    1. Check the "API name" of the report. The API name is typically the name that the challenge checker uses to verify the report. It should look like: "My_Top_Volunteer_Organizations"
You can see the API name by going to the report editor and clicking the downward facing triangle by the "save" button. Select "properties." The Report Unique Name is the API name- the unique identifier of the report. If the name is incorrect, you may need to switch to classic, empty the recycle bin to delete the old reports, then same the new report with the correct API name. Historically it has taken 24 hours for the name to be able to be reused.

      Delete
    2. Hey Baby,

I am having the same problem.
Emptied my recycle bin and waited for over 24 hours. Still an error message when trying to adjust the API name to My_Top_Volunteer_Organizations.

Any other thing I should take into consideration?

      Thanks, Tim

    3. Did you try cloning the report then saving it with the correct name vs. renaming?

    4. Hi Baby. I am having the same problem. I'm trying to create report with API name "My_Top_Volunteer_Organizations" but I had the same error. I'm trying to create new report with this name but I still have this error.

      Delete
    5. Have you verified the unique name assigned to the report? You can not re-use an unique report name for 24 hours...so if you are re-creating the report immediately after deleting an old one, the report will have an incorrect name. The way to work around this is to delete the report, empty the recycling bin, wait 24 hours then recreate the report.

  3. Hopefully you can help me. I need to enter some data per instructions "you’ve likely created a number of different volunteer activities, volunteer jobs, and other records for testing along the way. If not, do so now—or these reports will be very sparse." I am thinking there is a "Volunteer Tracker" to do this with, but I don't see it listed in the App Launcher.

The Volunteer Tracker Objects is an Installed Packages, and when I first started this was a new Trailhead Playground. Any idea's on this would be appreciated.

    ReplyDelete
  4. Correct- the package should create the objects. The app has to be created- Step 5. The individual objects should be able to be accessed by searching in the app launcher- or looking at "all items" at the bottom. When you create the app in step 5, the objects are gathered together under the "volunteer tracker" app.

Think of an "app" as a collection of objects- You pick which objects belong in the app.

With the record types in place, you should be able to create a Volunteer Organization Account and fill in the related objects form the account page before the "volunteer tracker" is created.

    Make sense?

    ReplyDelete
  5. Thank you for your explanation - and yes this does make sense, but I must be having another issue that will not allow me to enter sample data. Perhaps you can give me a suggestion on this one. By the way, Challenges 1 to 3 all passed, but I need sample data to work through Challenge 4.

Here is the problem: I select "Accounts" and then select New and enter one titled "Big Time Volunteer Organization", and then save. At that point I can see in "Related" the "Volunteer Activities(0)" which I select (so far there are 0 Volunteer Activities) - so I select New to add one.

The "New Volunteer Activity" form appears, and as expected "Big Time Volunteer Organization" is found as the "Volunteer Organization."

When I enter the "Volunteer Activity Name" such as "Painter" or anything else and select "Save" it gives the error "Value does not exist or does not match filter criteria." (This appears at the bottom of the form underneath the two Information fields of Volunteer Activity Name and Volunteer Organization). Do you have a clue as to what I could be missing? I have checked everything and was assumption since Challenges 1 to 3 passed that all was working ok. Any idea's?

    ReplyDelete
  6. Is your account "accepting activities"? (Check the volunteer organization status)

    ReplyDelete
  7. Yes, I have several accounts entered and they all have "Pending Approval" for the "Account" field "Volunteer Organization Status". I appreciate you helping with this.

    ReplyDelete
    Replies
    1. Did you change the status? As soon as you change the status, you should be able to enter the activity.
Volunteer Organization field purpose: .."Only accounts with the record type we created of status Accepting Activities should be eligible to select."

      Delete
  8. Thanks for this. With your help I was able to figure out how to get the Volunteer_Activity_c object to accept data However, I have still no data in:

    Volunteer_Job_c
    Volunteer_Shift_Worker_c
    Volunteer_Shift_c

which is keeping me from finishing the reports. I kind of stuck at this point. Any additional suggestions?

    ReplyDelete
  9. The remainder of the data just needs to be created- no "gotchas" that I know of.
Hint: Start at the Volunteer Activity and look at "related lists." The object hierarchy diagram on the instructions will show you why.... the objects are fairly sequential.

And can't find a solution, I have grouped the report by Volunteer Organization and sorted it by Attributed Hours (Descending).

I have tried to group it by Account Name but then i get the error that you posted above. Any ideas?

    ReplyDelete
    Replies
    1. Grouping by account name is correct, however you are going to need a filter to ensure that you are only including the correct type of accounts. Not all accounts are "Volunteer Organization" accounts.

Hint: Step 1 of this Superbadge included the creation of a way to divide normal accounts from volunteer organization accounts.

    2. Thanks for the response, I added a filter earlier "Volunteer Status equals Accepting Activities" but got the the 'error "Top Volunteer Organizations' report is not sorting by the correct field." when using it.

    4. I have tried that before as well but gets the same error... Tried it again and still receive the error "Top Volunteer Organizations' report is not sorting by the correct field."

The report is grouped by Account name (filter: Record type) and sorted by Attributed hours (descending).

      Delete
    5. I don't want to give too many details and take away the challenge, but here are a few more hints:
      1) There will be 1 row grouping- which you have correct already (Account Name)
      2) There will be 1 column grouping.
      3) The column grouping will need to be summarized (sum)
      4) Sorting is by the grouped column so that you see the account names ranked by the number of hours.

      I hope this helps!

I've created the 'Volunteer Dashboards' and saved the 'My Volunteer Information' dashboard in it. Also completed the 5. challenge but it seems that it doesn't see the dashboard.

I've tried to delete both the dashboard and the folder then I've created them again but had no luck. By the way, I've created this playground just for this superbadge and until this challenge haven't got any problem with it.

I also didn't come across anyone having this issue and I'm out of options.

Do you have an idea about what might be the problem here?

    ReplyDelete
    Replies
    1. hmmm My first guess for this type of problem is that Trailhead is checking for the API name of the dashboard- not the name that you provide. They should match, but sometimes they do not if you have deleted / recreated a dashboard.

Here is what I would try:
      1) Make sure that the dashboard was created in lightning (a duh, I know, but it happens)
2)Double check the placement of the folder- that it has not nested in private dashboards. When you click "all folders" the only thing that should show up is 'Volunteer Dashboards" - with the "My Volunteer Information" dashboard nested inside the folder.
      3) Check the API name of the report folder - click on the little down arrow next to the folder and select "rename" - the folder unique name should be Volunteer_Dashboards by default- however - sometimes deleting / recreating causes an issue with the API name.

If the problem is none of these things- email me a few screenshots and I'll take a look. rebecca@capstorm.com

  20. Good day!

I have the error message: The 'My Shifts Pending Approval' report does not have the correct columns. Of the two 'Volunteer Shift Worker ID' fields, include the one with the format Shift-#### so users can click through to the volunteer record.

I have the correct Volunteer Shift Worker ID as e.g.: Shift-0076. My columns are: Volunteer Shift Worker ID, Shift Start Time, Volunteer Activity, Volunteer job Name, Volunteer Organization.
Filters IsShiftVolunteer : True and Status=Pending approval.

My thinking is, that Trailhead does not accept the report, as nothing is showing up, because on Volunteer Shift Worker object when I created the dummy data, I am not able to check the IsShiftWoker or change the Status from Confirmed to Pending Approval. Do you know how can I change it or if there is another solution?

    2. Hi Baby,

I have unfortunately further issues with this error message:

      1. I cannot add column as the required "Volunteer Job", because I can only find this field via vlookup so what I can add is:"Volunteer Shift: Volunteer Job: Volunteer Job Name"

      2. Nothing appears in my report due to the filters, which are: IsShiftVolunteer equals True and Status equals Pending approval. If I modify the Status filter I have results. I also cannot alter the Statuses, to get results.

      3. Still I have the correct Volunteer Shift Worker ID as e.g.: Shift-0076, but I get the same error message.

      What could I do now?

    3. Do a little investigation into the custom report type. My guess is that the custom report has not been modified to include all of the fields that you need. If you are not getting records in the report, there are not records in your instance that fit the report criteria...but you can always create a few records. It will not impact the challenge if you create a few test records manually.

I am using the report: My Shifts Pending Approval

Columns: Volunteer Shift Worker ID, Shift Start Time, Volunteer Job, Volunteer Activity.

Now, one thing of which I am very uncertain is which volunteer shift worker ID to choose. From what I see, one is checked and the other unchecked. But I have selected one and then the other, while in between refreshing and saving my dashboard. Please help, if you will and can can; I have spent too much time on this already!

Accounts with Vol Activities with Vol Jobs" which I believe is correct. The report type is deployed.

Does anyone know why I am getting this error? Thanks.

"Challenge Not yet complete... here's what's wrong:

I didn't put a filter on the report, I used the Volunteer: Full Name field in grouping. Shift Hour for the column. Thank you!

    1. Two things to check:
      1) You will need a filter.... think about it like this.. You don't just want all volunteers that signed up for stuff... you want volunteers that actually showed up and did something.
      2) The grouping is good, but you are not sorting by the volunteer name... you want the volunteer's that showed up the most. (The column needs to be sorted twice...descending by one field then "sort by..." another field.)

  27. Sorry to pile on this... but I've exhausted my google search and community search capabilities... I created the custom report User (A), with at least ONE Volunteer Shift Workers (B). As far as I can tell that IS the correct report.

    1. how frustrating! Do you have....
      * the correct "volunteer organization" field? It should show the record ID's (not names)
      * sum of shift hours sorting is not on the "shift hours" field but rather sorting on the volunteer organization field - little arrow by "volunteer organization" then "sort by"

If you have all this correct, I'd sit 24 hours, then login and recheck the challenge again. Sometimes it takes something?? (no idea what!) some time to reset. This happens especially if you have created the report a few times and the checking mechanism is looking for the correct report API name - which must be unique and can be regenerated/reused in 24 hours after deletion.

Worse case scenario- I'm happy to look at a screenshot if you want to email it to rebecca@capstorm.com (Head's up though... I'm traveling tomorrow and might be slow to reply)

  49. Hi THB, please can you assist - I keep getting the error "The 'Users with Volunteer Shift Worker Records' Custom Report Type does not have the correct objects assigned.". I think this is because when I'm trying to select the Volunteer Shift Workers object as (B), it only gives me the options of Volunteer Shift Workers (Created By), and Volunteer Shift Workers (Last Modified By). These are the only two options. I tried a workaround, with a custom user field (as a last ditch effort to buck the system), but that creates a third option with the custom lookup field in brackets. How do I set up my volunteer shift worker object so that there is an option for "Volunteer Shift Workers" without the bracket?

    1. An option with the bracket is what you need as the "b" object.

  50. Hi Trailhead Baby, thank you so much for all your help and guidance.... it is MUCH appreciated!

I am still having this issue with the "My Top Volunteer Organizations' report is not sorting by the correct field" error message. I'm confused by two of the points you make above:

    1) You say that the Shift Hours field doesn't need to show on the report, but I can't work out how that would work. When I click on the field in the list of available fields on the far left, the only action it lets me take is to add it to the report. Unless it shows on the report, I can't sort by summarized Shift Hours

    2) You say that the Volunteer Org field has to show the record IDs, not the name. In my config, this field is a Master-Detail lookup to the Account.... so it shows the Account name. Not sure how I could get it to refer to the record IDs?

Thank you again! so much appreciated. :)

    ReplyDelete
    Replies
    1. The volunteer organization field on the Volunteer Shift Workers (last modified...) object should be a Salesforce record id. From the left to the right , you should see "volunteer organization ID" "Sum of shift hours" and "record count." Perhaps details are turned on for your report?

      Delete
    2. So.... I'm still a bit confused. The Vol Org field as I have it is a Lookup to the Account Name. Should it be a different type of field, or refer to something else? I can't see how I would make it a record ID, at least not as a Lookup... should it refer to something else?

(Thanks for your quick reply btw!)

      Delete
    3. ah ha! I bet that is the problem! The volunteer organization filed on the volunteer shift worker" object should be a formula (text) that returns a record ID.

      Something like....
      Volunteer_Shift__r.Volunteer_Job__r.Volunteer_Activity__r.Volunteer_Organization__c

      Delete
    4. Probably too big of a hint! But, it looks like you've been working on this for a long while :)

    5. OMG. I have been doing this for what feels like forever!!! Thanks for your help.....BUT I'm still getting the same error message. *sinks head in hands*

When I put the formula on that field the same way you have, it brings me the Account Name rather than ID, so it does not show a record ID. Even when I selected Volunteer_Organization -> Account ID, it still brought up a name.

I went back and checked the Shift Hours field as well - it is a look-up to the Volunteer Shift object, which is a number formula (Shift_End_Time__c - Shift_Start_Time__c ) *24

Is something wrong in one of the fields along the list of fields in that formula?

      Delete

I have a summary report of custom Report Type "Accounts with Vol Activities with Vol Jobs" with 2 columns (Vol Org and Attributed Vol Hours) grouped by Vol Org and sorted descendingly by the Sum of Attributed Vol Hours.
The attributed Vol Hours is a Roll-Up Summary field and I tried both ways - with the Vol Org field showing the Account Name and with it showing Account ID's. Nothing worked.

So I've been stuck with the error "The 'My Top Volunteer Organizations' report is not sorting the correct direction." for a whopping 16 hours. In a report that has so few columns, groups, filters, etc. I am blown away by how sorting can throw an error in a Superbadge challenge.

Can you provide a clearcut, fully detailed explanation on how the sorting of this report should be set up? After almost a full 24-hour period on one, seemingly small, problem I'm seriously beginning to question my decision to pursue Salesforce at all.

    1. "No other columns" includes the "# of shift hours" field. You can sort a field by a value that is not included within the report. Try double clicking on the hours field on the far left within the fields menu... got it?"

I'm confused by this statement. If you double click on the hours field from with the 'fields' popout, it automatically places said field into your report. Moreover, the part that states "...showing each organization's cumulative hours and no other columns" seems to mean that we should show the hours. Unless, somehow, "show" means "don't show".

Like so many on this feed I am stuck on step 4! I continue to get the error message mentioned multiple times above "The 'My Shifts Pending Approval' report does not have the correct columns."

Using Report Type "Users with Volunteer Shift Worker Records" (A=Users B=Volunteer Shift Worker Last Modified (I've tried VSWs and VSWs Last modified with same results) )

Report Outline Columns = Volunteer Shift Worker ID (using the one with correct format Shift-XXXX), Shift Start Time, Volunteer Activity, Volunteer Job, and Volunteer Organization
Filters = All Users, All Time, Status = Pending Approval, IsShiftVolunteer = true.

Emptied Recycling Bin, Started over multiple times. Any tips?

    Thanks so much

  67. I'm having the same difficulty with The 'My Shifts Pending Approval' report does not have the correct columns. Confirm that ALL report columns are in place according to the requirements. Additionally, take note that of the two 'Volunteer Shift Worker ID' fields, make sure to include the one with the format Shift-XXXX so users can click through to the volunteer record.

I have used the report type Users with Volunteer Shift Workers (Last modified by) and have all 5 columns correct and 2 filters besides the usual. I think it has something to do with the Shift Worker ID, since I can't click through on the report. I've created and deleted it so many times I'm ready to give up! Please can you point me in the right direction?

Service Cloud Specialist Superbadge - 4,5,6,7

Part of doing the Service Cloud Specialist superbadge is trying new things, so I am putting up picture of new things that I've tried recently.  One of my favorite new things this week was taking a shower with my whole block collection.  Mom put me in the shower, and I sneaked out to grab the block bin and dumped it in.  I'm concerned to share photos because of the slight nudity, however, I can assure you that it was a glorious adventure.  Instead, I'll share my favorite Saturday new thing- walking to the coffee shop for a sprinkle donut!  Back to the superbadge... Challenge 4 Case Routing If you haven't taken the Onmi Channel module yet, now is a good time! I kept that particular module open one on screen while I walked through this step.  It is hard to give many hints about this step without giving away too many details - so - the best advice is to read through the challenge and label each step with the corresponding Salesforce term.  (IE - "The channel, Sto

Service Cloud Specialist Superbadge - 1,2,3

A confession - I know next to nothing about service cloud.  While I was excited that a new superbadge was available, it made me a little nervous that I had to do all of the prerequisites and tackle new things like macros.  New things - new year - let's get started! (Right after I finish guitar practice) If you are also a service cloud novice, the Omni-Channel Basics is a crucial prerequisite even though it is not officially required. Challenge 1 App Appearance  This, like all superbadges, requires a careful read through the instructions prior to any clicking.  I found it helpful to take a separate notebook and write down the steps that I would need for each challenge step - for example -  My rough notes for challenge 1: Create 2 profiles  Tweak service Console 3 new items on utility bar Allow access for new profiles Create User  Beware - After editing the service console, you might have to edit the new profiles.  I found it necessary to click "edit&quo

This afternoon, I added a genius wig in an attempt to look a little older and more experienced.  The free lemonade offer worked!  I made two dollars today!  A huge thank you to Jocelyn Fennewald , Salesforce MVP, for pointing out the "remove all columns" option within the report creator.  When you start a create a new report, simply click to start with a clean screen.  If you are familiar with report and dashboards, this challenge should only take 30 or so minutes to complete.  Below are tips and gotchas for each report / dashboard.  If you need more help, leave a comment!
